DJ setup and supplier access notes
When planning a DJ setup at Mercure Tunbridge Wells, several logistical considerations come into play. Confirming the loading and unloading areas for equipment is crucial; the venue is generally accessible with parking available for suppliers. However, DJs may want to check the proximity of the parking area to the reception space, as this can impact efficiency during setup.
Stair access should also be validated, particularly if the chosen space requires transporting equipment upstairs. It’s important for DJs to discuss their setup position with venue staff to ensure they have adequate power outlets and a suitable space to place their equipment, ideally near the dance floor. Additionally, asking about the room turnaround time can help in planning the event schedule.
Sound, timings and guest experience
Sound management is another area where coordination with the venue is essential. DJs should inquire about any sound limiters in place that could affect their performance, especially during the evening reception. It’s beneficial to establish a clear timeline for the evening’s events, including the ideal start time for the DJ, to ensure that the flow of the celebration aligns with the couple’s expectations.
Effective communication with the venue staff throughout the event will also enhance the overall guest experience. Coordinating with the venue’s event manager can ensure that any changes are handled smoothly, keeping guests informed and engaged.
